House Committee Rules 1.2

 

February 2, 2005

Section 1: Room Usage

a.) Families that are assigned must either arrive by 9 PM or call the clubhouse and notify a club member that they will be arriving late. If you do not call, and arrive after 9 PM and your room has already been assigned to a guest, you must use another room for the night, you cannot tell the other party to leave the room for that night. b.) You can agree to let another member store their personal belongings in your room from week to week, provided that all families agree to it. You must notify the house committee in writing of the agreement with signatures of the other families that have that room assigned to them. (New 2/2/05)

b.) All rooms are available for any members or guests, providing the assigned members are not there and they arrive before 9 PM and they are not reserved for late arrival. (Revised 2/2/05)

c.) Other than single family rooms, all rooms must have bunk beds as needed for additional new members.

d.) If you are not assigned to the room, you cannot leave any personal belongings behind. Any items left behind shall be placed in the Lost & Found box in the mud room downstairs. 

e.) Guests shall provide their own bedding and towels.

f.) Nothing should be removed or moved to any other rooms.  No borrowing.

g.) Rooms should be left clean and in the condition in which they were found.

Section 2: Room Assignment Non-Usage Rule

a.) During the calendar year, families must stay at the clubhouse for two separate, not continuous, overnight stays or their room will be forfeited on the first Thursday in January of the following year.

b.) Grandfather Rule - For members who were assigned their rooms prior to 2000 – The House Committee will call the people who did not stay twice and ask them if they would be willing to give up there room. If they choose not to, they do not have to give up the room. The reason for this exception is made to show respect to the charter members however we hope that people who are not using the place can respect that others want personal space and storage and will give up their room.  Should any of these “grand fathered” members ever come to the clubhouse, they will be given 1st rights to use their old room provided they arrive before 9 PM or reserve their room for late arrival.

c.) The sign in sheets and paid lodging will be used to determine attendance. At such time, the house committee will notify the family via a letter and personal phone call from a House Committee member and they will have 2 months to either remove their personal belongings or forfeit them to the club.

d.) The house committee will review any hardship cases and bring it up for board then regular membership voting at the next meeting.

e.) If you forfeit your room because you did not stay at the club on two separate occurrences, you cannot request a room until you have stayed at the club on two more occasions within the following or any subsequent year. 

 

f.) There is no monetary value associated with any room. Rooms cannot be sold or given to other members or family members. The member does own any personal belongings in the room that they purchased.

Section 3: Guests

a.)  All members and guests are expected to help clean up (stack wood, wash dishes, mop floors, empty trash, clean bathrooms, vacuum, clean up kids rooms, etc.).

b.) All guests must have a member sponsor and this should be noted on the sign in sheet.

c.)  No guests are permitted to spend the night without their sponsored member.  Guests must check out with their sponsored member.

d.) It is the responsibility of the club member who sponsored the guest to:

d.1) Explain and enforce the rules and etiquette of the club.

d.2) If they are using the social room, make sure that they have a valid social membership. 

d.3) Make sure they left the room they stayed in, in good and clean condition.

d.4) Make sure they paid for their lodging, gas and social dues.

d.5) To pay any monies that their guests did not pay.

e.) Rowdy or disorderly guests can be asked to leave by any two regular members.

f.) Guests are not permitted to invite and bring other guests in to the club.

g.) At the end of the year, all unpaid money will be submitted to the Treasurer and will be collected as part of the yearly dues. Room will be forfeited if monies owed are not paid.

Section 4: Upstairs

a.) There shall be no running or smoking.

b.) Quiet hours are from 9 PM until 9 AM

Section 5: Downstairs

a.) No one is permitted to sleep downstairs overnight.

b.) Quiet time downstairs (Kitchen, Living Room, Kids Room, Social Room) is 2 AM. If you have a grievance, please come downstairs and remind people of the rules. Quiet time means that you should keep noise at a reasonable level so people can sleep upstairs. Please use reasonable judgment.  New Years Eve is an exception to this rule.

c.) Members are allowed to use any room downstairs any time, as long as they abide by quite hours and proper etiquette.

d.) Social members who are not staying at the club can be asked to leave the building at 2 AM.

Section 6: Room Assignments

a.) Rooms will become available when either:

  • A member resigns from the club.
  • A member chooses to give up their room.
  • A member is assigned to a new room.
  • The room becomes available due to the non-usage rule.

b.) At such time, the House Committee should be notified that a room is available. If necessary, the House Committee will confirm this with the member who gave up the room. At the next General membership meeting, the House Committee will announce that a room is available and it will be published in the next newsletter. At that time, anyone interested in obtaining that room must submit a written request to  a member of the House Committee that they are interested. This must be done prior to the 2nd general membership meeting following the announcement. This will ensure that everyone has received the notification in the newsletter and has had ample time to respond. The House Committee will appoint the next occupant of the room based on the membership seniority of the interested families. Tenure will be counted from the last time in which you joined the club. The House Committee will then update the room assignment sheet, which will be posted at the clubhouse in the sign in book.

c.) All committee members will be notified via e-mail when someone requests in writing that they want a room that is available. (New 2/2/05)

d.) Seniority will be established from the date you became active, should you become inactive, your seniority will not accrue during that time. When you become active again, it shall continue to accrue. 

 

e.) Seniority of children of members who have become of legal age to join the club shall start their seniority accruement at that time.

 

f.) No member shall move to another room until all monies owed to the club are paid in full

 

g.) See club web site for room vacancies and current room assignments, or call a house committee member.

Section 7: Room Occupancies

a.) Number of families per room:

·         Single Family Rooms: 1, 2, 3, 4, 5, 6, 8, 17, 18, 19, 20

·         Two Family Rooms: 7, 8, 10, 11, 12, 13, 14, 15, 16

·         Three Family Rooms: 9

·         Four Family Rooms: 21

 

b.) Single Family Rooms numbered 1, 2, 5, 6 shall become double family rooms upon becoming available.

 

c.) A single family room can request to make their room a 2 family room by verbally notifying the house committee. (New 2-2-05)

Section 8: Lodging Fee's

a.) Fees:

Members (current president’s immediate family lodging fees are waived): 

Adult $5.00 each

Children - 1st grade & up $1.50 each (younger than 1st grade free)

Maximum $15.00 per night per family for lodging

Guests:

Adult $10.00 each

Children $3.00 each

Gas Prices:

Subject to change per garage committee. See lodging board at clubhouse for current gas prices.

b.) All monies shall be deposited in the collection box next to sign book. Collection of that money shall be limited to house committee members only. The sign sheet will be taken and verified by the house committee person.  The monies will then be submitted to the treasurer.

c.) If you attend a work weekend and do work, lodging fee’s are not required to be paid.

d.) If someone feels that their work justifies a work weekend and they do not need to pay lodging fee (for example: grass cutting, replacing fire extinguishers, etc.) They shall write on the lodging sheet the work performed and it will be the discretion of the house committee to determine if it is fair.

e.) Members will pay a user fee of $2.00 a day per adult when using the clubhouse but not staying there Example: using showers, kitchen, etc. while camping elsewhere..

f.) Unpaid lodging and gas be posted on a board by the room sign in sheet at the club to remind people to pay.  Any dispute regarding unpaid dues should be raised to the treasurer and the house committee. (New 2/2/05)

Section 9: Grievances

a.) If you do not agree with these rules, please bring it up to a member of the house committee and the house committee will make a determination on a grievance.  If there is a question as to how to interpret a rule, the house committee shall make the decision and if necessary, amend the rules to further clarify them for the future.

b.) Any grievance than cannot be resolved, must be submitted in writing to the house committee. The house committee will discuss and vote on a grievance before it is discussed at the general membership meeting or board meeting.  These rules cannot be avoided by bringing it up at a general membership meeting and by-passing the house committees vote on a grievance. If the house committee cannot resolve the issue, we will then take it to the board. (New 2-2-05)

 c.) On the few weekends a year when the club is full and guests are occupying many rooms, and a member needs a room, or there is no room for their guests, please see a house committee member and we will talk to members about consolidating guests and work to resolve the issue. (New 2-2-05)

Section 10: Rule Revision Process

 

a.) Please present any proposed changes or additions to these rules to the house committee in writing. Verbal opinions will not be considered a formal request for change.

Section 11: Rule Revision History

 

a.) 2/1/2001 - Rules were brought up at board and general membership meeting and distributed with the newsletter. The house committee motioned that these rules be added to the by-laws, it was voted by the board that these rules were not to be added to by-laws but to be managed by House Committee. No grievances were raised to the house committee or board regarding the rules below and they therefore came into effect.  

 

c.) 1/6/2003 - 1st revision of rules motioned in by committee members: Jon Stahl, Ken Kelly, Boyd Book, Bill Eastley Sr, Norb Belsterling.

c.) 2/2/2005 - 2nd revision of rules motioned in by committee members: Jon Stahl, Ken Kelly, Boyd Book, Bill Eastley Sr, Norb Belsterling & Jim Everett. Notification of rules changes made at general membership meeting on 2/3/05.
